General
What is HVAC business software?
HVAC business software (also called field service management software) is a platform that helps HVAC contractors manage scheduling, dispatching, invoicing, customer records, and technician workflows in one place. It replaces paper work orders, manual scheduling boards, and disconnected billing tools with a unified system that connects your office to your field technicians in real time.
Do I really need HVAC-specific software, or can I use a general field service tool?
General field service tools lack HVAC-specific features like equipment tracking by unit (serial numbers, warranty dates, maintenance history), flat-rate pricing books for HVAC repairs, refrigerant tracking, NATE certification tracking, and maintenance agreement management. HVAC-specific platforms like ServiceTitan and Housecall Pro are built around the workflows contractors use every day — from dispatch to invoice.
What's the difference between cloud-based and on-premise HVAC software?
Cloud-based HVAC software (like Housecall Pro, Jobber, and ServiceM8) runs in a browser or mobile app — no server at your office required. Technicians access job details, GPS routing, and invoicing from their phones. On-premise software runs on a local server, limiting access to the office unless you set up VPN connections. Nearly all modern HVAC platforms are cloud-based, and we recommend cloud for the mobility and automatic updates.
Is HVAC software worth it for a small operation with just 1–3 trucks?
Yes — even for 1–3 truck operations, HVAC software typically pays for itself within the first month. The ROI comes from faster invoicing (get paid the same day instead of waiting weeks for paper invoices), fewer missed calls and scheduling errors, automated appointment reminders that reduce no-shows, and professional-looking estimates that improve close rates. At $50–$200/mo, one extra closed job per month covers the cost.
Pricing & Costs
How much does HVAC software cost?
HVAC software typically costs between $50 and $400+ per month depending on the platform and number of technicians. Housecall Pro starts around $65/mo for a single user. Jobber starts at $69/mo. ServiceM8 starts at $29/mo. ServiceTitan starts at $245+/mo (requires annual contract) and FieldEdge starts around $200/mo. Most platforms charge per user or per technician, so costs scale with your crew size.
Are there free HVAC software options?
Some platforms offer limited free tiers. Housecall Pro has a basic free plan for a single user. Jobber offers a 14-day free trial. However, truly free, full-featured HVAC management platforms don't exist — the development and support costs require subscription revenue. For a legitimate 1–3 truck operation, budget $50–$150/mo for software that actually moves the needle.
What hidden costs should I watch for with HVAC software?
Watch for per-technician fees that add up as you grow, payment processing fees on customer payments (typically 2.9% + $0.30 per transaction), charges for additional features like marketing automation or maintenance agreement modules, training and onboarding fees, and long-term contract requirements (ServiceTitan requires annual contracts). Always calculate the total cost for your specific crew size, not just the base price.
Do HVAC software companies require long-term contracts?
It depends on the vendor. ServiceTitan requires an annual contract with significant early termination fees. Housecall Pro, Jobber, and ServiceM8 offer month-to-month plans with no long-term commitment. FieldEdge typically requires an annual commitment. We recommend starting with a month-to-month platform if possible — it's much easier to switch if the software isn't the right fit.
Features & Capabilities
What features should I look for in HVAC software?
At minimum: scheduling and dispatching with GPS routing, mobile app for technicians (estimates, invoices, photos, signatures), customer records with equipment and service history, invoicing with payment processing, and basic reporting. Bonus features that increasingly matter: maintenance agreement management, flat-rate pricing integration, marketing automation, QuickBooks/Xero sync, and online booking for customers.
Can HVAC software handle dispatching and GPS routing?
Yes — dispatching and route optimization are core features of most HVAC platforms. ServiceTitan has the most advanced dispatching with real-time GPS tracking, automated route optimization, and capacity planning. Housecall Pro and Jobber offer solid dispatching with drag-and-drop scheduling and technician location tracking. Good dispatching software can reduce drive time by 15–20%, saving fuel and fitting in more jobs per day.
Does HVAC software integrate with QuickBooks?
Most HVAC platforms integrate with QuickBooks Online, and many also support QuickBooks Desktop and Xero. The depth of integration varies — some sync invoices and payments automatically, while others require manual export. ServiceTitan, Housecall Pro, Jobber, and FieldEdge all offer QuickBooks integration. Always test the integration during your trial to make sure it syncs the data points your bookkeeper needs.
Can technicians use HVAC software on their phones in the field?
Yes — mobile functionality is a core feature of all modern HVAC software. Technicians can view job details, access equipment history, create estimates, collect signatures, take and attach photos, process payments, and generate invoices — all from their phone or tablet. Housecall Pro and ServiceM8 are particularly strong on mobile. Make sure to test the mobile app during your trial, especially on the device types your techs actually use.
Switching & Migration
How hard is it to switch HVAC software?
Switching is doable but requires planning. A typical migration takes 2–6 weeks from decision to go-live. The main challenges are migrating customer records, equipment history, open estimates, and maintenance agreements. Most vendors offer migration assistance. Smaller operations (1–5 trucks) generally transition in 1–2 weeks. The bigger the team, the more training and parallel running time you'll need.
Will I lose customer data and job history when switching?
You shouldn't lose data if you plan properly. Customer contact information, addresses, and basic job history usually migrate cleanly via CSV import. Equipment details, photos, and notes from individual jobs may need manual re-entry for critical accounts. The biggest risk is losing open estimates and maintenance agreement details — export everything and keep access to your old platform for at least 60 days after switching.
How long does it take for technicians to learn new HVAC software?
Expect 3–5 days of core training for technicians on the mobile app, with full comfort in 2–3 weeks. Office staff running dispatch and scheduling typically need 1–2 weeks of training. Platforms with simpler interfaces like Housecall Pro and Jobber have shorter learning curves than feature-heavy platforms like ServiceTitan. The techs who struggle most are usually those resistant to going paperless — the software itself is intuitive once they commit to using it.
Choosing the Right Software
What's the best HVAC software for a small contractor (1–5 trucks)?
For small HVAC contractors, we recommend Housecall Pro (best overall value and ease of use starting at $65/mo) or Jobber (excellent mobile experience starting at $69/mo). Both are cloud-based, month-to-month, and include scheduling, dispatching, invoicing, and payment processing without per-technician fees that kill small operations. Avoid ServiceTitan at this size — it's built for 10+ truck operations and the cost and complexity aren't justified.
What's the best HVAC software for a larger operation (10+ trucks)?
For larger HVAC operations, ServiceTitan (most comprehensive feature set for scaling companies) and FieldEdge (strong dispatching and QuickBooks integration) are the top choices. ServiceTitan excels at marketing ROI tracking, call booking optimization, and advanced reporting that matters when you're managing 10+ technicians and spending real money on advertising. The higher cost is justified by the operational efficiency gains at scale.
How do I evaluate HVAC software before buying?
Sign up for free trials or request live demos from your top 2–3 choices. During each evaluation, test the workflows your team uses daily: scheduling a service call, dispatching a technician, creating an estimate on-site, converting to invoice, processing payment, and syncing to QuickBooks. Have at least one technician test the mobile app in the field. Ask about total cost for your crew size, talk to other HVAC contractors who use the platform, and read our independent reviews.
Support & Updates
What kind of support do HVAC software companies offer?
Support varies significantly by vendor. Housecall Pro includes phone and chat support in all plans. ServiceTitan provides dedicated customer success managers for larger accounts. Jobber offers email and chat support with solid response times. FieldEdge includes phone support. Response times matter when your dispatch board goes down during a heat wave — ask vendors about average response times and escalation procedures before signing up.
How often is HVAC software updated?
Cloud-based platforms update continuously — you're always on the latest version with no action required from your team. Updates typically include new features, mobile app improvements, integration enhancements, and bug fixes. ServiceTitan and Housecall Pro release major feature updates monthly. The advantage of cloud software is you never have to schedule downtime or pay for version upgrades — it just improves over time.
