How We Review HVAC Software

Every review on this site follows the same structured process. We don't accept payment for reviews, we don't let vendors approve content before publication, and affiliate relationships never influence our scores.
Our Testing Process
Every HVAC software platform we review goes through a structured evaluation that combines hands-on testing with real-world feedback from contractors and their teams:
- Vendor Demo — We request a full live demo from every vendor, asking the same 14 standardized questions covering scheduling, dispatching, invoicing, mobile functionality, integrations, and pricing.
- Hands-On Evaluation — Where possible, we access trial accounts to test daily workflows: scheduling a service call, dispatching a technician, creating an estimate on-site, processing payment, and syncing to QuickBooks. We also test mobile apps in real field conditions.
- Contractor Interviews — We talk to 3–5 real HVAC business owners per platform, sourced through our network and reader submissions — not vendor-provided references. We ask about pain points, ROI, support experiences, and what they'd change about the software.
- Pricing Verification — We verify pricing directly with vendors and cross-reference with user reports. We document the total cost of ownership including per-technician fees, payment processing rates, and contract terms — not just the advertised starting price.
- Scoring & Writing — We score each platform against our 6 weighted criteria (detailed below), write the review, and publish. No vendor sees the review before publication.
Scoring Criteria
Every platform receives a score from 1.0 to 5.0 across six categories. The overall rating is a weighted average:
Ease of Use
20%How intuitive is the platform for office staff and field technicians? We evaluate onboarding friction, mobile app usability, and how quickly a new technician can start using the app productively on a job site — including in poor cell service conditions.
Scheduling & Dispatching
20%Job scheduling, drag-and-drop dispatching, GPS routing, technician availability tracking, and capacity planning. We test real-world scenarios like same-day emergency dispatch, multi-day project scheduling, route optimization for a full day of calls, and handling schedule conflicts.
Invoicing & Payments
20%Estimate creation, invoicing, payment processing, QuickBooks/Xero integration, and financial reporting. We look at how quickly a technician can generate an invoice on-site, the customer payment experience, payment processing fees, and the accuracy of revenue reporting.
Field Service Tools
15%Mobile app functionality for technicians: job details, equipment history, photo capture, customer signatures, flat-rate pricing books, and offline capability. We evaluate whether the mobile experience helps technicians work faster or slows them down with clunky interfaces.
Support & Reliability
15%Response times, support quality, uptime track record, and how the vendor handles critical issues during peak season. We note whether support is included or costs extra, average resolution times, and whether the vendor provides a dedicated success manager for larger accounts.
Value for Money
10%Total cost of ownership including subscription, per-technician fees, payment processing fees, add-on modules, and contract requirements relative to the feature set and company size the software serves. A $65/mo tool that handles everything a 3-truck operation needs scores higher than a $300/mo platform built for 20+ truck fleets.
How Often We Update Reviews
HVAC software changes fast — vendors release updates, adjust pricing, and improve (or degrade) their support. We re-evaluate every review on a rolling basis:
- Every 6 months:Full re-evaluation of scoring, pricing verification, and user sentiment check.
- As needed:Immediate updates for significant pricing changes, major feature releases, acquisitions, or security incidents.
- Annually:Complete methodology review. We adjust scoring weights if the market shifts (e.g., if mobile-first dispatching becomes table stakes that changes what "ease of use" means).
Every review page shows its last-updated date. If you notice outdated information, let us know.
Editorial Independence
We participate in affiliate programs with select vendors. This means we may earn a referral commission when a contractor clicks our link and signs up for a platform.
What this does NOT mean:
- xAffiliate partners do not get higher scores
- xVendors cannot pay for placement or rankings
- xNo vendor sees or approves reviews before publication
- xWe never suppress negative findings about affiliate partners

We take accuracy seriously. If we get something wrong — a pricing figure, a feature claim, a vendor policy — we want to know. Email hello@hvacstack.io with corrections and we'll investigate and update within 48 hours.
